This role involves coordinating internally and externally with stakeholders to ensure seamless contract renewals, mitigating risks, and optimizing processes. Ideal candidates may come from a Project Coordinator/Project Manager or Procurement Specialist/Coordinator background.


Key Responsibilities


Contract Management:
  • Review and analyze existing contracts to identify renewal timelines and critical terms.

  • Maintain and update a comprehensive contract database for tracking deadlines, statuses, and changes.

Renewal Process Execution:
  • Collaborate with internal teams and stakeholders to define renewal terms and necessary adjustments.

  • Draft, review, and negotiate renewal documents, ensuring alignment with organizational policies and objectives.

  • Coordinate with legal and compliance teams to address changes, risks, and legal implications.

Stakeholder Communication:
  • Act as the main point of contact for clients or vendors on contract renewal inquiries.

  • Communicate renewal terms, deadlines, and next steps promptly and effectively.

Reporting & Documentation:
  • Generate detailed reports on contract statuses, renewal rates, and identified risks for management review.

  • Maintain organized records of renewal agreements and related documentation.

Process Improvement:
  • Identify inefficiencies in the contract renewal workflow and propose actionable solutions to optimize operations.

Requirements

Qualifications & Skills

  • Familiarity with IT SaaS products, services, and vendor management.

  • Strong negotiation and stakeholder management skills.

  • Excellent organizational and time-management abilities.

  • Proficiency in using contract management software and tools.

  • Solid understanding of legal terms and compliance considerations in contracts.

  • Exceptional communication skills, both written and verbal.

Preferred Qualifications

  • Experience in project coordination or procurement in a SaaS/IT environment.

  • Knowledge of risk management and process optimization techniques.
